Security and privacy
Your phone number carries your customers’ conversations. Here’s how SimpleVox keeps them to the people who should see them, and what you control.
For the full legal detail, read our privacy policy and disclaimers.
Who sees what
Section titled “Who sees what”- Numbers decide access. Each person sees the calls, voicemail and texts for the numbers they’ve been given. Admins see every number in the workspace.
- Contacts are shared, conversations aren’t. Everyone in the workspace sees the same contact names and numbers. The calls and texts themselves stay with the numbers they came in on.
- Access is checked every time. SimpleVox checks a person’s access whenever they open something, not just when they sign in. When an admin takes a number away from someone, or removes them from the workspace, it takes effect straight away.
- Summaries respect access too. When a call summary uses earlier conversations for context, it only uses numbers that everyone who can read that call can also read.
- Billing stays with the billing owner. Plans, invoices, the card on file and texting registration are visible only to the billing owner. See Plans and billing.
Your sign-in
Section titled “Your sign-in”You sign in with an email and password, or with Google or Apple. Your sign-in settings are in Settings → Your account.
- Passwords are at least 12 characters. Changing your password signs you out on your other devices. If you signed up with Google or Apple, you can add a password with Set a password.
- Forgot your password? Use Forgot password? on the sign-in page to get a reset link by email.
Turn on two-factor authentication
Section titled “Turn on two-factor authentication”Two-factor authentication asks for a code from an authenticator app each time you sign in, as well as your password. It applies when you sign in with Google or Apple too.
-
In Settings → Your account, under Two-factor authentication, choose Turn on and enter your password. If your account doesn’t have a password yet, you’ll be asked to set one first.
-
Scan the QR code with your authenticator app, or enter the setup key by hand.
-
Enter the 6-digit code the app shows and choose Turn on.
-
Save your recovery codes somewhere safe with Copy or Download. Each one signs you in once if you lose your phone.
When you sign in, enter the code from your authenticator app, or one of your recovery codes. You can create New recovery codes or Turn off two-factor authentication from the same place.
Recordings and transcripts
Section titled “Recordings and transcripts”- Recordings are kept in private storage. They’re never published at a public address.
- Playing a recording uses a private link that expires after a short time.
- Call recording is set per number and is on for new numbers. Only admins can turn it off, on the number’s General tab. Voicemail is always recorded.
- Turning recording off doesn’t delete past recordings.
- Recordings, transcripts and summaries stay with the call. To have a call’s recording, transcript and summary removed, email support@simplevox.net.
AI tools and the API
Section titled “AI tools and the API”- Your own sign-in. Each person connects an AI tool with their own SimpleVox account, through a secure sign-in and consent screen. Nobody pastes a password into an assistant.
- Your own access. A connected tool only reaches the numbers and conversations that person can reach, checked again on every request. You can limit a connection to selected numbers, and being an admin doesn’t widen a narrower grant.
- You choose what it can do. Every connection can read your contacts and the history on its numbers. Each of these is a separate, optional permission: Send text messages, Create and edit contacts, Start assisted phone calls, and Cancel setup and end assisted calls.
- Never widened quietly. To give a connection a new permission, you reconnect and approve it on the consent screen.
- No double sends. A repeated request returns the same text or call instead of sending again, and a text that may or may not have gone out is never blindly retried.
- Off limits. AI tools and the API can’t touch billing, buy numbers, change call handling or edit the Trust Center. The API can’t change a conversation’s Open, Unread or Done status, and an AI tool can only when you allow Mark conversations read, unread or done and ask it to.
- Sources, not guesses. Answers come with links to the original call or text, so you can check them.
- Content is data. Tools are told to treat what’s said in calls and texts as evidence, never as instructions, so a caller can’t steer your assistant by what they say.
- Easy to disconnect. Disconnect an AI tool from Settings → Integrations, or revoke an API token from Settings → API tokens. Access ends straight away.
The AI tool you connect is run by its own provider, such as Anthropic or OpenAI. When it uses SimpleVox data for you, that data is handled under that provider’s terms as well as ours. Check their privacy settings, too.
See AI tools overview and API authentication.
Deleting your account
Section titled “Deleting your account”Go to Settings → Your account and choose Delete account. Confirm with your password, or by typing your email address if you sign in with Google or Apple and haven’t set a password. This can’t be undone.
SimpleVox tells you first if something needs sorting out. As the billing owner you’ll need to cancel your plan and remove the other members. If you’re the only admin, make someone else an admin first.
When you delete your account:
- You lose access to the workspace right away, and you’re signed out everywhere, including AI tools you connected.
- Calls, texts and changes you handled stay in the workspace’s history, shown as Deleted user.
- The workspace’s conversations, contacts and numbers stay with the workspace. If you’re the last member, the workspace closes too.
Payments
Section titled “Payments”Payments are processed by Stripe. SimpleVox doesn’t store your full card number.
Texting rules
Section titled “Texting rules”Text only people who’ve agreed to hear from you, and honor opt-outs. See our messaging opt-in policy.

Section titled “Service status”Check simplevox1.statuspage.io for current service status.
Report a concern
Section titled “Report a concern”If you think someone has accessed your account who shouldn’t have, or you’ve found a security issue, email support@simplevox.net straight away.
