Invite your team

On Pro and Boost, everyone works from the same workspace: shared numbers, shared contacts and a shared inbox for each number. Each person signs in with their own account, so you can see who answered, who replied and who marked a conversation done.

  • You need Pro or Boost. On Solo you’re the only person in the workspace. The billing owner can upgrade from Plan & billing. See Change or cancel your plan.
  • Only admins can invite people. The Team page is in Settings for admins.
  • Choose a plan first. Until the workspace has a plan, Settings → Team shows Registered instead of seats. The billing owner sees Choose a plan there; everyone else sees a note that the billing owner can choose one.
  • Pro and Boost are priced per person. Each member and each pending invite uses a seat, the app’s name for a paid place on your plan. Settings → Team shows how many seats are open. If you need more, the billing owner can add them while sending invites.
  1. Go to Settings → Team and choose Invite members.

  2. Type an email address and choose Add to list. To invite several people at once, separate their emails with commas.

  3. For each person, set Phone access:

    • New number lets them pick a number of their own when they join. Each person on your plan comes with a number, and it’s ticked to start with.
    • Under Share existing numbers, tick any numbers they should also have.
  4. Set their Role to Member or Admin. Admins can use every number, so you only choose whether they also get a new number.

  5. If there aren’t enough open seats, the billing owner sees Add N seats with the price. Choose it, check the amount due today, then choose Confirm and pay. The charge is prorated to your renewal date. If you’re not the billing owner, ask them to add the seats.

  6. Choose Send invite (or Send invites).

Each person gets an email with a link to join. Invitations expire after 7 days. Until then they show on the Team page as Invited, and each one holds a seat. To cancel one, open its … menu and choose Revoke invite.

  1. They get an email called Join your workspace on SimpleVox and choose Review invitation.

  2. They sign in, or create an account, with the email address you invited. They can use an email and password, Google or Apple. See Create your account.

  3. They see the invitation and choose Accept invitation. Your workspace pays for them, so they don’t choose a plan or pay anything themselves.

  4. If you gave them New number, they pick it next: they search by city or area code, choose a number, give it a name and choose Get this number. It’s ready in a few seconds.

They can choose Skip for now and pick the number later. Until they do, SimpleVox shows a reminder with a Pick number button. If every number your plan includes is already in use when they try, they’re asked to get an admin to add one.

To give a member more control over one number without making them an admin, make them that number’s Owner on its People tab. See Choose a number.

To change someone’s role, open their … menu on the Team page and choose Change role to Admin or Change role to Member. You can’t change your own role.

The person who created the workspace is its billing owner. They’re shown as Owner on the Team page and have everything an admin has. Only the billing owner can:

  • open Plan & billing, upgrade the plan, and see invoices and the card on file
  • add seats and extra numbers
  • fill in, pay for and submit texting registration in the Trust Center

The billing owner’s role can’t be changed and they can’t be removed. To hand billing ownership to someone else, email support@simplevox.net.

The numbers a person has decide what they can see everywhere in SimpleVox: the inbox, contact history, recordings and transcripts. It also applies when they connect an AI tool. An assistant connected by a member can only read the numbers that member can see.

Contact details, like a customer’s name and phone number, are shared across the workspace so everyone recognizes the caller. The calls and texts themselves stay with the numbers they came in on.

On the Team page, open the person’s … menu, choose Remove from workspace, then Remove.

  • They lose access to the workspace’s numbers and conversations right away. Their signed-in devices and any AI tools they connected are disconnected too.
  • Calls and texts they handled stay in the inbox for the rest of the team.
  • Their seat stays free to fill until your plan renews. If it’s still empty then, it’s dropped. There’s no refund for the current period.
