Recordings and transcripts
SimpleVox records your calls, turns them into transcripts and writes a short AI summary of each one. You can find out what was said without replaying the whole call, and check any point in the summary against the original. AI summaries are included in every plan.
What gets recorded
Section titled “What gets recorded”- Answered calls. Each number has a Call recording setting on its General tab. It’s on for new numbers. While it’s on, calls on that number are recorded once they’re answered: incoming and outgoing calls, and calls your flow forwards to an outside phone.
- Voicemail is always recorded, because that’s how the caller leaves the message. Turning off call recording doesn’t affect it.
Only admins can turn call recording on or off. Turning it off stops new recordings. It doesn’t delete past ones.
Recordings are stored privately. When you play one, SimpleVox gives your browser a private link that expires after a short time. Only people who have that number can play it.
Where to find them
Section titled “Where to find them”Calls appear in the conversation with that caller, in the number’s inbox. Expand a call to play it and read its summary. Choose Call details to open the full view:

- Recording, with a player you can speed up or skip through.
- Summary, written by AI and labelled AI.
- Suggested contact details picked up from the call, if there are any. See Contacts.
- Before this call: what happened earlier with the same customer.
- Transcript of the whole call.
Transcripts
Section titled “Transcripts”Each recording is transcribed into timed passages, so you can jump to the part you need. Passages are labelled by side of the call, such as Caller and Your team, or with a contact’s name when the call is linked to one. Labels show which side spoke. They aren’t proof of who was on the phone.
Summaries
Section titled “Summaries”Each summary pulls out what matters: who called, what they wanted, and what was agreed.
Every point in a summary links back to the transcript passage it came from. Choose Show in transcript to see the exact words. If a summary and the transcript ever disagree, trust the transcript. In SimpleVox, the source always outranks the summary.

Your teamNorthside Carpentry, this is Mike.
Dana OrtizHi, I'd like a new deck off the back of the house on Elm Street. About twelve by sixteen.
Dana OrtizThe old one's rotting, so composite this time if we can.
Your teamComposite makes sense back there. Any steps or railings?
Dana OrtizJust the three steps down to the yard, same as now.
Dana OrtizCould I get a quote by Friday? We're picking a contractor this weekend.
Your teamThat works. Let me look at the schedule.
Your teamI can come out and measure Thursday morning.
Dana OrtizThursday works. Text me instead of calling, I'm in meetings all day.
Your teamWill do. I'll text you Wednesday night to confirm.
Dana OrtizGreat. Do you need anything from me before Thursday?
Your teamJust leave the side gate unlocked so I can get to the back.
Dana OrtizWill do. And if the quote looks good, when could you start?
Your teamProbably the week after next. I'll put a start date in the quote.
Dana OrtizPerfect. Thanks, Mike.
Your teamThanks, Dana. Talk Wednesday.
Each key detail's source button highlights the passage it came from and moves the recording to that moment.
Before this call brings in context from earlier calls and texts with the same contact, such as “they called last week about the same leak.” Each item links to its own source with See the call or See the text. It only draws on numbers that everyone who can see this call can also see, so a summary never reveals another number’s conversations.
While it’s processing
Section titled “While it’s processing”Transcripts and summaries take a little time after a call ends. Until they’re ready, the call says so in plain words:
- Waiting for recording or Summary on its way: still being processed.
- Not recorded: call recording was off, or the call wasn’t answered.
- We couldn’t transcribe this call or We couldn’t summarize this call: something went wrong.
- This summary is out of date. Refresh to update it.: something it relied on changed, such as the contact it’s linked to.
A call that’s still processing or failed isn’t proof that nothing was said. Play the recording if you need to be sure.
Recording consent
Section titled “Recording consent”For incoming calls, you can add a Play audio step at the start of your call flow that says “Calls may be recorded.” See Greetings and audio. For calls you make, tell the person yourself at the start of the call.
Deleting a recording
Section titled “Deleting a recording”To delete a call’s recording, transcript or summary, email support@simplevox.net and we’ll remove it for you.
Read them from your AI tool
Section titled “Read them from your AI tool”If you’ve connected an AI tool, it can read transcripts and summaries for the numbers you can see, and it links each answer back to the call. Reading never changes anything in SimpleVox, including whether a conversation is unread. See AI tools.
